When a laboratory or other customer submits personal information to Exact LIMS for its own operations, that customer determines why the information is processed. In that situation, Quickint Solutions processes the information on the customer's instructions, and individuals should normally direct requests concerning laboratory records to that customer.
2. Information we collect
The information collected depends on how you interact with Exact LIMS and how your organization configures the service.
- Account information, such as name, business email, telephone number, organization, job title, login identifiers, roles, and permissions.
- Customer and laboratory data, such as sample references, test requests, methods, results, quality records, reports, invoices, and audit events entered by authorized users.
- Commercial information, such as subscribed plan, quotations, payment status, billing contact, GST details, and transaction records.
- Technical and usage information, such as IP address, browser and device details, timestamps, features used, diagnostic logs, session events, and security activity.
- Communications, such as support requests, demo enquiries, feedback, training records, and messages sent through forms, email, telephone, or chat.
- Information received from integrations or providers enabled by the customer, subject to the customer's configuration and the provider's terms.
3. How we use information
- Provide, configure, host, maintain, support, and secure Exact LIMS.
- Authenticate users, enforce permissions, maintain audit trails, and investigate suspicious activity.
- Process demo requests, subscriptions, invoices, payments, implementation, migration, training, and support.
- Monitor performance, troubleshoot errors, plan capacity, and improve usability and features.
- Send service notices, security alerts, account communications, and relevant product information, subject to communication preferences and applicable law.
- Comply with legal obligations, enforce agreements, protect rights and safety, and establish or defend legal claims.
- Create aggregated or de-identified insights that do not reasonably identify an individual or customer.
4. Lawful handling of personal information
We process personal information where it is necessary to provide contracted services, pursue legitimate business and security interests, comply with legal obligations, or act with valid consent when consent is required. Customers are responsible for ensuring they have an appropriate basis and notices for personal information they enter into Exact LIMS.
5. Cookies and similar technologies
We may use essential cookies or similar browser storage to maintain sessions, remember preferences, balance traffic, and protect accounts. We may also use limited analytics to understand website and product usage. Where required, optional technologies will be used only after appropriate notice or consent. - To the customer organization and its authorized administrators and users according to configured access controls.

- To professional advisers, auditors, insurers, or financing parties where confidentiality protections apply.

7. Customer-controlled laboratory data
Customer administrators control which users can access laboratory data, the permissions assigned to them, the information entered, enabled integrations, and many retention or export decisions. Quickint Solutions does not independently use identifiable customer laboratory records for advertising or unrelated marketing.
If you are a sample provider, laboratory customer, employee, or other individual whose information was entered by an Exact LIMS customer, contact that customer first to access, correct, or delete the relevant record. We will assist the customer with valid requests as required by contract and applicable law.
8. Data retention
We retain account, commercial, support, and security information for as long as reasonably needed to provide the service, maintain business and audit records, resolve disputes, enforce agreements, and meet legal obligations. Customer data is retained during the subscription and for any agreed retrieval or backup period after termination, then deleted or de-identified unless longer retention is required by law or agreement.
Backup copies may remain for a limited period after deletion until overwritten through normal backup cycles. Information required for fraud prevention, security, financial records, or legal claims may be retained for the applicable period.
9. Security
We use reasonable administrative, organizational, and technical safeguards designed to protect information against unauthorized access, alteration, loss, or disclosure. Measures may include access controls, role-based permissions, logging, backups, secure transmission, monitoring, and personnel confidentiality requirements.
No method of storage or transmission is completely secure. Customers should configure roles carefully, protect credentials and endpoints, review access, maintain appropriate internal procedures, and notify us promptly of suspected unauthorized activity.
10. International processing
Exact LIMS and its service providers may process information in locations other than where a user or customer is based. When information is transferred across borders, we use contractual, organizational, or other safeguards appropriate to the information and applicable requirements. Customers should contact us before submitting data subject to specific localization restrictions.
11. Your choices and rights
Depending on your location and relationship with us, you may have rights to request access, correction, deletion, restriction, objection, withdrawal of consent, or a portable copy of certain personal information. These rights may be limited by legal exceptions, security needs, other individuals' rights, and contractual or record-retention obligations.
To make a request concerning an Exact LIMS account or our website communications, contact us using the details below. We may verify identity and authority before responding. Requests about data controlled by a laboratory or other Exact LIMS customer should be sent to that organization.
12. Communications and children
You may opt out of non-essential promotional email using the unsubscribe option or by contacting us. We may still send transactional, service, billing, support, or security communications needed to operate an account or fulfill a request.
Exact LIMS is a business service and is not directed to children. Customers must apply appropriate legal and organizational safeguards before entering information relating to minors into laboratory workflows.
13. Third-party services and changes
Our website or application may link to or integrate with third-party services. Their privacy practices are governed by their own notices, and we are not responsible for how they handle information outside Exact LIMS.
We may update this policy as Exact LIMS, our providers, or applicable requirements change. The revised policy will be posted with an updated effective date, with additional notice where a change materially affects how we handle personal information or applicable law requires it.
